A cloth folder for a Christmas choir has two jobs that compete with one another. It has to keep the programme with the singer while the group walks into position, then let the pages fall open at the next carol. A sample that grips tightly can pass the walk and fail the first page turn. Ask the choir librarian and one singer to approve it together.
Request a bound dummy from the printer
Use the programme after trimming and folding
The sheet size used for the print quotation is not the size of the folded programme. Ask for a dummy assembled with the proposed number of sheets, cover stock and binding. Blank pages are enough. Mark the centre spread on your working copy and note which edge is the head. Lay the closed booklet on the proposed folder, then open it at the middle and at the second page. The fore edge moves as the papers settle.
If the printer cannot issue the final dummy yet, record which facts are provisional. A wire-stitched centre may accept a cord that a glued booklet cannot. An extra order-of-service insert can increase the stack but may also be loose rather than bound. Decide whether that insert belongs in a separate pocket or is handed out independently. Do not build a retention feature around an unconfirmed assumption about the print order.
Look at where the fixing touches the paper
Test an early page and a late one
Thread a centre cord through the fold of the dummy without piercing the paper. Hold the open folder at the singer's usual height. Try turning the first few leaves, then a leaf near the back. At one end of the programme there is very little paper mass on the turning side; at the other there is a substantial stack. A feature that appears symmetrical on a bench can behave differently in the two conditions.
Compare a corner-pocket version if the booklet spine cannot take a cord. The opening must capture the cover without capturing the page the singer is trying to turn. Ask the singer to pause as soon as the paper drags. Identify whether it caught at the top corner, along the trim or near the centre. That observation suggests a change in cut or retention position. Simply requesting a looser fit may solve the drag while allowing the entire booklet to slide out.
Try the transition into the performance
Watch the hand that is already occupied
Give the closed folder to someone entering the rehearsal space carrying whatever the event normally issues. The relevant question is not whether two free hands can open it on a table. Can the singer find the front, open the right way up and reach the starting page without releasing the whole programme? Try the sequence again after closing it briefly between pieces. Observe the normal gesture before suggesting how the person should hold it.
Keep decorative elements off the thumb resting zone unless the choir has approved the feel. Compare the open folder from the audience side as well: a motif centred on the closed cover can end up mostly hidden by a hand. If a seasonal badge or removable wrap is proposed, check that its fixing cannot catch the neighbouring booklet when the folders are stacked for distribution.
Choose an issue and return unit
Price reusable covers independently of the print run
Some organisers keep the textile folders and change the printed contents every year. Others give the whole programme to the audience or singers. State which arrangement applies before seeking quotes, because a reusable folder that staff must empty has a different return process from a giveaway. Remove the printed dummy, examine the places where it rubbed and insert a fresh one. Check whether staff can do so without stretching the retainer out of shape.
For costing, separate the common cover quantity from any choir-specific colours and decoration. Ask whether quantities are calculated per base cloth, per badge or per finished colour. Keep the librarian's approval copy with the printer's dummy and note which revision was inside it. If the printer later adds a thicker cover, reopen the page-turn decision before releasing the whole set. A signed fabric swatch is not an approval of this new combination.
Send the booklet binding, finished dimensions and intended issue method when requesting a sample. Include one timed rehearsal changeover and the librarian's reload notes in the decision.
