Inspection photos are useful only when a reviewer can tell what product, lot, carton, unit and checkpoint they represent. A folder of attractive close-ups may prove that an inspector saw a seam, but it does not show whether the photographed unit belonged to the shipment being released or whether a defect image was counted in the report. The problem becomes harder when images move through messaging applications, are renamed automatically, lose metadata or are combined by several inspectors. Buyers also need to prevent confidential labels, people or unrelated supplier information from spreading beyond the approved evidence route. A controlled naming and lot-linkage method turns photos into supporting evidence while preserving the difference between an image, a measurement record and a formal disposition. It creates a sequence from lot overview to sampled unit, checkpoint, finding and final status, so a remote reviewer can trace what happened without assuming that every image represents the whole shipment. 2. Build a durable file-naming convention
Names should sort logically and remain understandable outside one phone
Use a controlled sequence such as inspection identifier, purchase order, style or SKU, lot, sampled unit, checkpoint, view and sequence number. Choose separators and date format once, avoid spaces or characters that fail across systems, and define abbreviations in a short data dictionary. Do not put customer-confidential information in a file name when the storage route does not protect it. The file name should remain useful even if metadata is stripped during transfer.
Keep the original capture time, device sequence and unedited file where practical, then record any approved crop, annotation or compression as a derivative. Renaming should not destroy the link to the source image. If several inspectors work in parallel, assign unique inspection and device codes before starting so files do not overwrite each other. Folder structure may group by order and checkpoint, but the individual file should still carry enough identity to survive export.

Keep handwriting or printed codes legible in the original evidence but avoid exposing them in public marketing. When the product itself carries a barcode or label, capture it only if the buyer requires it and the image-storage route is approved. 4. Link defects, measurements and disposition

Assign each photographed defect a unique finding code and record the sampled unit, location, category, severity decision, quantity and related photo names. Include a scale or wider context where size and position matter, but do not cover the defect with the scale. For measurements, photograph the preparation and ruler placement for representative or disputed points, then store the value in the controlled table. Transfer images through the agreed project route without consumer-app recompression when original detail or metadata matters. Generate an index that lists file name, capture reference, order, lot, unit, checkpoint, finding and status. Confirm file count and, for higher-control projects, use checksums or another integrity method supported by the buyer's system. Audit a small sample of the evidence set before shipment release: open files, follow names to report rows, confirm that required lot coverage exists and verify that derivatives do not replace originals silently.
