Phase 1: Product Development
The journey begins with specifications. What fiber? What weave? What GSM or thread count? What dimensions? Working with an experienced manufacturer, you will define every parameter of your product. This phase typically takes 2 to 4 weeks and involves reviewing physical swatches and samples to align on quality standards and aesthetics.
Design and Branding
Your label design, packaging, and any embroidery or jacquard weaving elements are developed in parallel. Simple embroidered logos on pillowcases or towels add minimal cost — often $0.30 to $0.80 per piece — but create significant brand impact. Packaging ranges from basic poly bags to premium gift boxes.
Phase 2: Sampling
Pre-production samples are essential. You will typically receive 2 to 3 rounds: initial samples to verify construction and materials, revised samples incorporating feedback, and final approval samples that set the standard for bulk production. Never skip sampling — it is your last chance to catch issues before committing to a full production run.
Phase 3: Production and QC
Bulk production for private label orders typically requires 30 to 45 days depending on complexity and volume. During production, third-party inspection at AQL 2.5 or tighter for premium products ensures your specifications are being met before the goods leave the factory floor.
Phase 4: Logistics and Delivery
From factory to your door, logistics planning is critical. Sea freight takes 25 to 35 days from major Chinese ports to most Western destinations. Air freight is 5 to 7 days but costs 5 to 8 times more. Smart buyers plan ahead to use sea freight whenever possible, reserving air freight only for urgent restocks.
